Add members to a Workspace

A workspace in Claix is the shared space where your schemas, widgets, logs, API keys, and company settings live. The person who creates the account and sets up the workspace is the Owner. Everyone else joins as invited members.

This guide walks through the full flow from the user interface: how to invite from the dashboard, how an invitee registers, and what each role can see and do. No API or code required.

1. Owner and members: who is who?

When you sign up for Claix and complete onboarding, you create a workspace under your name. You are the Owner: your email is the main account and you control billing, the invitation token, and company details.

A member is someone you invite. Each member has their own login (Google or email and password), but when they sign in they enter the same workspace as the Owner: the same schemas, widgets, and logs—not a separate siloed account.

On the members list (Account page in the dashboard), each person has a visible role label (for example “CTO”, “Finance”, or “Viewer”). That text is a team label to identify each person’s function. There can only be one Owner per workspace; that role is reserved for whoever created the space.

2. How the Owner invites someone (step by step)

  1. Sign in to Claix and open the dashboard at /dashboard.
  2. In the sidebar, go to Account (user icon).
  3. In the data column you will see the highlighted Workspace Token card. That secret code identifies your workspace. It is masked by default; click Show to reveal it and Copy when you need to share it.
  4. In the same Data column, inside an orange sub-card, complete the billing details: legal name, billing tax ID, and billing address. They are required for correct invoice issuance and are only visible to the Owner; members cannot see or edit these fields.
  5. If the token may have leaked or you want to invalidate old invites, use Regenerate (to the right of the card title). A new token is created; the previous one will no longer work for registration.
  6. Share two things with your teammate: the token and the workspace registration link /workspace-login (on your domain, e.g. https://www.claix.dev/workspace-login).
  7. Optional: in the right column on Account, click the + button next to “Members”. A reminder opens with the same link and invite instructions.

Important: /workspace-login is only for joining the workspace for the first time (registration). It is not the normal sign-in screen. After registering, the member always uses /inicio-sesion (or your localized sign-in URL), just like you.

3. How the invited member registers

  1. Open /workspace-login in the browser.
  2. Paste the Workspace Token from the Owner and validate. If the token is valid, you will see the workspace name and the registration form.
  3. Complete the left column:
    • Name: how you want to appear on the team list.
    • Role: a free label (e.g. “Operations”, “Engineering”). You cannot use the word “Owner”; that role is reserved.
    • Accept the legal terms.
  4. When name, role, and terms are complete, the right column Create your access unlocks: sign up with Google or email and password, same as a normal Claix registration.
  5. After registration, sign out or open a new tab and go to /inicio-sesion. You are now part of the Owner’s workspace.

If the token does not work, ask the Owner for an updated one (they may have regenerated it). If you already have a Claix account with that email in another workspace, the flow may differ—contact support or the Owner.

4. What everyone sees in the dashboard

Owners and members share the same sidebar and work sections:

  • Schemas, Widgets, Logs, API Keys, and API documentation.
  • Top left: Claix logo and Workspace of (or Workspace de in Spanish) followed by the workspace company name.
  • Under Account, the Members list with each person’s name, role, and email.

Everything you create (schemas, widgets, log entries) belongs to the shared workspace, not to a private personal account.

5. Permissions: what each role can do

The table summarizes differences from the dashboard UI. If an action is missing or a button is disabled, your profile does not have permission.

6. Tips for the Owner

  • Treat the Workspace Token like an invite password: do not post it on public channels.
  • If someone leaves the team, regenerate the token so old links stop working. You can edit a member’s name or role from the pencil icon on the list (this does not remove their login; that requires separate account management).
  • The company name has a character limit so it fits in the sidebar; when you change it, the whole team sees the new name after refresh.
  • Only the Owner should handle billing and paid Persistent Mode; members can view pricing and status but cannot charge the workspace.
  • Before invoices are issued, make sure the orange billing details sub-card on Account is complete (legal name, tax ID, and billing address). If any field is missing, a warning appears below it.

7. Tips for members

  • Bookmark /inicio-sesion for daily use; /workspace-login is only needed on the day you join.
  • Your role on the list is informational for the team; it does not automatically change which menus you see (permissions are Owner vs member, as in the table above).
  • For payment method, Persistent Mode activation, or token regeneration, ask the Owner to do it from their Account page.
  • You can work normally on schemas, widgets, and API keys; changes are visible to the whole team.

8. Frequently asked questions

Can we have two Owners? No. Only whoever created the workspace keeps the Owner role. You cannot assign “Owner” to another member during registration or member editing.

Does each member have their own API key? In the dashboard they see the workspace API Keys section. Keys you manage belong to the shared space; coordinate with the Owner on who creates or rotates production keys.

What happens if I regenerate the token? Already registered members still sign in at /inicio-sesion. Only new registration attempts with the old token will fail.

Where do I change the dashboard language? Under Account → Dashboard language. The “Workspace of” / “Workspace de” text in the sidebar follows the language you choose.
